Definitions:
SEPA records: Record that a student was offered special education services.
- DPI refers to these records as sSEPA: Student Special Education Program Association while SEEDS refers to them as SEPA: Special Education Program Association SEPA.
SIS: Student Information System
WISEdata: Data collected by DPI, including special education data
Data Flow:
SEEDS does not communicate directly with the SIS. Instead, SEEDS sends data to WISE, and then the SIS pulls the data from WISE.
- SEEDS will send data to WISE: Individual, real-time send to WISE when a SEPA record is created.
- SIS will pull data from WISE: Daily/nightly in a sync set up with the SIS.
SEEDS does not complete any mass sends of data other than an initial push of all student data at the beginning of the school year. All other data is sent in real time, individually by student when specific data is updated.
Required Data for a SEPA Record:
In order for a SEPA record to be created, a student must have the following data points.

SEPA Records in SEEDS:
SEPA records can be found on the student's District tab - SEPA Data.
SEPA records will show green checkmarks under each data point if the data has been successfully sent to WISE. If there are not green checkmarks, click "Send SEPA data to WISEdata." This will either send the record, or display any errors that need to be corrected in order for the record to send successfully.
Automatically Creating a SEPA Record:
A SEPA record will automatically create when a student has all of the data points listed above, and a new IEP Implementation Date is added to the student's Evaluation tab.
General Notes about SEPA Records:
- Districts should review SEPA records as part of their IEP review process. Provided all of the required data is present, SEPA records should create an send automatically without any need for manual entry from the district.
- A student who is actively receiving services during the school year should not have a SEPA End or Exit Reason in the bottom SEPA row during the school year.
- Enrollment information must be present at WISE prior to a SEPA record being sent. The following error will display if there is not enrollment record at WISE: "Student doesn't have a SSA record in WISEdata." Enrollment information is sent from the SIS.
- Enrollment start and end dates in the SIS must match the SEPA dates. For example, if the student moves into the district on 10/15/25, then that date should be listed in the SIS and as the SEPA start date.
