SEEDS offers multiple ways to save and exit a form. Saving and exiting a form correctly prevents data loss, and will help to maintain confidential information in student forms.
Note: It is highly recommended the forms are not left in edit mode when a staff member is not physically present at the computer. This will help to prevent data loss or unintentional sharing of confidential student information. Always return to the Student Detail View or SEEDS Home Page when not at the computer.
Saving a Form
Save Between Tabs (Save Only)
When a user clicks between tabs in a form, the data is saved. This is an automated feature in forms with multiple tabs such as the A-6, I-3, and Data Collection form.
Clicking between tabs will not exit the form. Instead, Save as Draft or Save as Final should be used to exit a form.
Save in Progress (Save Only)
Save in Progress should be clicked when a user is actively working in a form. It may be viewed similar to the "Save" button in a Microsoft Word document.
Clicking Save in Progress will not exit a user from a form. Instead, Save as Draft or Save as Final should be used to exit a form.
Save as Draft (Save and Exit)
Save as Draft should be clicked when a user needs to save their data and exit the form. When a form is Saved as Draft, the word "DRAFT" will appear as a watermark in the print preview.
Clicking Save as Draft will exit a user from the form and return the user to the Student Detail View.
Save as Final (Validate, Save, and Exit)
Save as Final should be clicked when a user wants to run validations for a form. Validations are required fields and/or compliance checks within that form.
Save as Final will save data in the form IF all validations are corrected, and there are no validations listed.
Validations will appear as red text at the bottom of the form near the save buttons, as well as embedded in the form in the validated sections.
Note: If a user does not correct the validations and leaves the form, they must exit the form by clicking Save as Draft or changes may not be saved.
Exiting a Form
When a user tries to leave a form in SEEDS without using a Save button, a warning box will often appear on the screen.
To avoid data loss, avoid using the Back arrow at the top of the browser screen:
and/or the "Back to Student Detail View" button.
These buttons will not save data in a form, and may result in data loss.
Instead, the Save buttons at the bottom of the form should be used anytime a user wants to exit a form.
Recovering Lost Data
Here are some tips to avoid data loss in forms:
- Always save and exit a form using the save buttons at the bottom of the form.
- Avoid leaving a form in Edit view when the form is not actively being edited.
- Avoid closing SEEDS by closing the tab or window.
- If a user is moving between classrooms/buildings (or moving between internet connections), always save and exit a form, being sure to return to the Student Detail View or SEEDS Home Page.
Restore Last Draft
If data is lost, SEEDS offers Restore Last Draft. This button must be accessed on the same computer that the data was originally entered.
If the user refreshes the page or leaves a form without saving correctly, Restore Last Draft is available for larger textboxes.
- Restore Last Draft will restore the last saved version of the form for up to 8 hours on the computer.
- After 8 hours, data that has not been Saved to Draft or Final will be permanently deleted.
- If the user accesses the form from a different computer, the Restore Last Draft will not be available because it is not on the same computer where the draft was last edited.
To access Restore Last Draft:
- Access the same computer where the data was originally entered.
- Open the form.
- Click the Restore Last Draft button, which can be found at the end of the toolbar, at the top of a textbox.
- The last saved version of the form will be restored if the button is clicked within 8 hours of saving the data.
